What is an LED display quote comparison? Comparing LED display quotes from Chinese factories means evaluating the full specification and commercial terms, not just the unit price. Two quotes with the same total can hide different pixel pitch, component quality, certification coverage, freight terms, and warranty. This 2026 checklist helps buyers turn marketing numbers into a decision they can defend to their own stakeholders.
In more than a decade of quoting LED display projects, the lowest price has rarely been the final lowest cost. A quote that is 15% cheaper usually trades away something the buyer will pay for later: lower brightness bins, thinner cabinets, excluded control hardware, or certification files that do not cover the model.
The fix is not to avoid low quotes. It is to standardize the comparison so every supplier answers the same questions. Once the specification and commercial terms are identical, price differences become information instead of noise.
| Line Item | What to Check | Why It Changes the Price |
|---|---|---|
| Screen size and resolution | Width, height, total pixels | Same m2 can have different pixel counts |
| Pixel pitch | P2.6 vs P3.9 vs P4.8 | Smaller pitch increases module density |
| Brightness and grade | Nits, LED brand, brightness bin | Determines visibility and consistency |
| Included components | Power supply, receiver card, cable | Affects reliability and installation |
| Control system | Brand, software license, backups | Optional in some quotes |
| Cabinet type | Die-cast vs sheet metal, weight | Affects service and rental logistics |
Our guide on choosing an LED display supplier in China explains how to build the written specification that makes quotes comparable.
Chinese factories commonly quote in three units: per square meter, per cabinet, or per complete system. Each unit has a place, but mixing them makes comparison impossible.
| Unit | Best For | Pitfall |
|---|---|---|
| Per square meter | Quick comparison across pixel pitches | Ignores cabinet and system costs |
| Per cabinet | Rental and modular projects | Cabinet size differs by brand |
| Per complete system | Fixed installation with control room | "Complete" definition varies |
Always convert every quote to the same unit before comparing. If one supplier quotes per cabinet and another per square meter, ask both to quote the exact project dimensions in both units.
| Term | Supplier Covers | Buyer Covers |
|---|---|---|
| EXW | Factory production only | All transport, export, insurance |
| FOB | Delivery to Chinese port | Ocean freight, insurance, import |
| CIF | Freight and insurance to destination port | Customs clearance, inland delivery |
| DDP | Delivery to door with duty paid | Minimal |
DDP is usually the least stressful for first-time importers because the supplier manages customs and delivery risk. The official ICC Incoterms definitions, available at the ICC website, describe exactly where risk and cost transfer in each term. FOB is better for importers with their own freight forwarder and existing customs relationships. Whatever term you choose, write the destination port or address into the quote request.
Certification is part of a real LED display quote. For US projects, confirm whether UL/ETL and FCC documentation is included, and check the file covers the exact model. For European projects, CE and RoHS must appear on the same model. If the supplier charges extra for a compliance file, confirm the file comes from the certification body and not a generic template. Verify live records in UL Product iQ or Intertek's ETL directory, then read the UL certificate verification guide before accepting documentation.
Warranty language matters more than warranty length. A 3-year warranty with no spare parts and no freight support is weaker than a 2-year warranty with 3% spare modules and a clear replacement process. Asia Vision includes spare parts guidance and after-sales support in every quote so buyers can calculate real lifetime cost.
For budget context, see the LED display price guide 2026 and the China to USA import guide.
Assume a 6m x 3m outdoor video wall at P4 with a 1000-nit requirement. Quote A says $2,400/m2, and Quote B says $2,900/m2. On screen area alone, Quote A saves $9,000. After line-by-line review, Quote A excludes receiver cards, signal cabling, spare modules, and the steel frame, while Quote B includes them. When added, the difference becomes roughly $1,800, and Quote A also carries a lower brightness bin that may require a full re-quote when the buyer verifies daytime visibility. The final decision in this example was Quote B, because the real installed cost was lower.
This is why we convert every quote into a project budget before comparing suppliers. Screen area is only one line. The budget should include: screen, structure, installation, control system, content hardware, certification, freight, customs, insurance, spares, and commissioning. Typical add-ons are 10-18% of the FOB price for ocean freight on small and mid-size orders, roughly 0.3% for marine insurance, and customs duty that varies by country and product code.
Ask six questions in writing: What exact model is quoted? What LED brand and brightness bin? What power supply and receiver card are included? What are the freight terms to my address? What certification files are included? What is the spare parts price and lead time? A supplier that answers all six without changing the price is presenting a stable quote. A supplier that answers vaguely is leaving room to adjust later.
Compare answers side by side, and do not let a supplier change the specification after the price is agreed. If the model number, pixel pitch, or component list changes, the original price is no longer valid and the quote should be reissued in writing. We keep one controlled specification per project and reject later substitutions, because that single rule removes most quote disputes.
One additional question matters for integrators: what happens during commissioning? Clarify whether the supplier provides remote commissioning support, on-site engineers at extra cost, or a commissioning manual. In our experience, a remote commissioning session with the factory engineer resolves most first-install issues, and it should be stated in the quote so nobody discovers the cost later. Put the answer in the quotation or a side letter, not just in the email thread, because buyers who skip this line item usually pay for a technician visit that the quote could have covered.
