What is UL certificate verification? UL certificate verification is the process of confirming that a manufacturer's UL or ETL listing is real, active, and covers the exact LED display model you plan to buy. A photo of a certificate is not proof. The reliable proof is a live record in the UL Product iQ or Intertek directory, with matching company details, model numbers, and standard scope.
US building inspectors, insurance carriers, and project owners increasingly check certification records before approving LED display installations. If a supplier provides a copied or edited certificate, the failure usually appears after the shipment arrives: a rejected permit, an uncovered insurance claim, or a costly retrofit. Verification takes minutes and protects the entire project budget.
The process is the same whether the supplier claims a UL certificate or an ETL certificate. For UL claims, search UL Product iQ. For ETL claims, search Intertek's ETL directory. Both databases are public and updated by the certification body, which makes them the most reliable source for a Chinese LED manufacturer's certification status.
Ask the supplier for the UL file number, not just the certificate PDF. The file number is the unique key used in the public database. A serious manufacturer provides it immediately, because a valid listing is a sales advantage.
Open UL Product iQ at ul.com/database and search by file number, company name, or product category. For ETL claims, search Intertek's public directory. The record should show a current, active listing status.
Compare three fields: the legal company name, the factory address, and the model number or model family. Mismatches are common with repackaged certificates. If the directory shows a different company or an older model family, the certificate does not cover your order.
Confirm that the listing scope includes the applicable safety standard. Most modern LED displays are listed to UL 62368-1. Outdoor displays may also show enclosure, power supply, or environmental evaluations. A listing for lighting controls or LED modules does not cover a complete LED display.
Ask for the latest factory follow-up inspection date and any sample test records. UL and Intertek both conduct unannounced factory inspections, typically up to 4 times per year. A factory that cannot document recent follow-up inspections may not be managing its certification program.

A certificate PDF can be forwarded, edited, or reused by a different company. A file number, by contrast, is tied to a specific certification file in the NRTL's database. When you search the file number, the directory returns the exact company, product category, model, and standard. That is why every buyer we work with is trained to ask for the file number before reviewing any certificate image. A file number also makes it possible to check the listing history, including whether the scope changed after the original certificate was issued. We always record the file number, the search date, and the directory URL in our compliance files so the evidence can be re-verified months later.
During a factory qualification for a US integrator, the supplier sent a certificate with a file number that looked correct at first glance. When we searched UL Product iQ, the listing belonged to a lighting controls manufacturer with a similar name. The actual factory had no active listing for the LED display model it proposed. The buyer avoided a six-figure order that would have failed the permit process, and we replaced the supplier within two weeks using a verified partner. We now run this verification for every Chinese LED manufacturer before the first sample order, not after.
This is not an unusual case. Repackaged certificates and expired listings are the most common problems we see, and both are easy to catch with a two-minute directory search.
Supplier verification should feel like normal due diligence, not an accusation. Use a simple, professional message: "Please share the UL file number for model X and the latest factory follow-up date so we can include it in our compliance file." A legitimate supplier treats this as routine. If the supplier becomes defensive or asks you to rely on a certificate image alone, that is a stronger warning than any red-flag list.
Here is a message we use with every new factory: 'Please share the UL file number for model X, the active standard scope, and the most recent follow-up inspection date for the UL certificate. We need these for our compliance file before we can issue a purchase order.' A factory that responds with the data is demonstrating the transparency you want in a long-term partner.
Beyond the certificate itself, confirm the certification is maintained across production. Ask whether the factory can ship the same model with the same power configuration used in the listing, and whether the listing covers the US voltage range. These details prevent a certificate from being technically valid but commercially useless for your project. If you plan to ship multiple model families, ask for one file number per family; a single certificate covering dozens of unrelated models is another warning sign.
